Information on applying for and managing permanent entry permits

Please note: In the period from 23.07.-26.07.2024, no more new applications/renewal applications can be entered into the system. Applications using the form will be discontinued IMMEDIATELY. 
From 29.07., entry permits will be managed exclusively via the “Security System” portal.

In order to drive onto the Ludwigshafen site and the Friesenheimer Insel, Kläranlage and Limburgerhof sites, it is necessary to apply for a corresponding entry permit from the Site Security. A distinction is made between temporary and permanent entrances:

 

Temporary entry (valid for a maximum of 5 days):

The application for such an entry is made when applying for the temporary permit by making a note in the comments field and can be created together for the duration of an order or a visit. If you know the license plate number at the time of application, please enter it. The temporary ID card is collected at the same time as the temporary ID card from one of our ID and reception points.

 

Permanent entry:

Only persons who are in possession of an active permanent pass for BASF SE are entitled to use permanent passes. Permanent access passes are valid for a maximum of 1 year.

Note: The entry permits to be applied for are issued exclusively to the main contractor. The maximum number of entry permits is based on the number of active permanent passes. Both the main contractor and the subcontractor may use the driveway. The main contractor is responsible for administration.

If access to the BASF SE site in Ludwigshafen by car or other vehicle is necessary for the fulfillment of the order, this must be requested. This can only be done by the responsible dispatcher of the company in the portal “Security System”.

All necessary information can be found in the process description. 

The applications go through an internal BASF approval process, i.e. they are checked by the responsible approval team and the obligatory check by the site security entry management team.

As soon as the application has been finally processed, all of the company's dispatchers receive an e-mail informing them of the status of the application.

Definition of vehicle types

If an entry permit is required, a distinction must be made as to which category your vehicle belongs to.
It is irrelevant whether the vehicle is classified as a car or a truck. 

The categories that are relevant for BASF SE are the permissible total weight. See the chart below for the field to be taken into account.

 

            Passenger car = up to 2.8t (according to registration certificate part 1 - field F.2)

            Other vehicle = greater than 2.8t (according to registration certificate part - field F.2)

Process description for applying for and managing External entry permits or parking cards by external dispatchers

As soon as the application has been processed by the site security entry management team and the applicant has been informed by email, the entry permit can only be collected from the North ID and Reception Centre (Building J660, near Gate 5). (The complete processing from receipt of application to collection can take 3-4 working days).

 

Note: Only persons who have been nominated as collectors by the dispatcher in the application are authorised to collect the entry permits. If the dispatcher wishes to collect the requested entry permit themselves, they must also be nominated as the person collecting the permit. If no collector is named, any employee can collect the entry permit. The permit will only be issued to persons who are in possession of an active permanent pass and must be acknowledged by this person.

 

Renewals are only collected in a 1:1 exchange (old for new). An exception is made if the time limit is < 3 days before expiry. In any case, ALL entry permits must be sent or handed over to the entry management team of Site Security (postal address: BASF SE, ESM/WWE - J660, 67056 Ludwigshafen) after the expiry date.

If your company is in possession of active entry permits, ALL responsible dispatchers will be informed by e-mail in good time (28 days) before expiry.

Entry permits that are due to expire can be extended via the ‘Security System’ portal. All entry permits available for renewal are listed there in the overview and can be selected.

If an inspection is carried out by the site security staff and an expired or lost permanent entry permit is used, this constitutes a violation of the site regulations and will be punished.

If your company has to report the loss of an access authorisation, this must be entered immediately in the portal ‘Security System’ portal by the responsible dispatcher. 

If you require a replacement, a new application must be submitted via the system. You can find out how to proceed in step 1: Applying for permanent entry authorisations.

The applications go through an internal BASF approval process. This means that they are checked by the responsible authorisation team, as well as the obligatory check by the site safety entry management team.

As soon as the application has been finalised, all of the company's dispatchers receive an e-mail informing them of the status of the application.
